IMPORTANT INFORMATION AND UPDATE: Effective May 22, 2025, Driscoll Middle School, Clear Spring Elementary School, and Wilshire Elementary School will not be available for facility use.
NEISD is committed to making campus facilities available for use by the Community. The Department of Procurement & eCommerce administers facility use during non-school hours including weekends and evenings.
Facility requests are processed on a first-come first served basis. Usage fees vary according to the type of group and the space utilized. Space that may be available includes gyms, auditoriums, classrooms, multi-purpose rooms and playing fields. Priority is always given to the education of students.
Facility usage requests may be processed for the 2024 - 2025 school year beginning no earlier than Friday, August 2, 2024, at 9:00 AM Central Time. Any requests received before this time will not be considered. All requests must be entered via the Event Management System (EMS). Since the first day of school is Monday, August 12, 2024, facility requests shall be processed beginning Monday, August 19, 2024.
Insurance Requirements: All Renters MUST submit proof of Certificate of Liability Insurance at the same time the Facility Use Application Form is submitted. A Certificate of Liability Insurance may be obtained as a separate policy or as a rider. North East Independent School District MUST be listed as an "Additional Insured" on the Certificate of Liability Insurance and a copy of the Additional Insured endorsement/policy language must be attached. The minimum limits of liability are $1,000,000. North East Independent School District is not responsible for injuries to participants and/or spectators and is not responsible for damage to and/or loss of a Renter's property. To the fullest extent permitted by law, the Renter agrees to indemnify and hold the North East Independent School District, its trustees, employees and representatives, harmless from any and all claims for monetary damages or other relief resulting from the Renter's invitees and/or use of the facility as contemplated by this Agreement. Such indemnity shall include defense costs against any such claim incurred by the North East Independent School District and its counsel of record.

Stage Use: A marley/dance floor is not authorized at any NEISD facility. Since the use of an adhesive is required to secure the floor, once removed it leaves a residue behind. Therefore, Facility Reservations Office (FRO) does not authorize any type of adhesives. This policy was implemented to ensure NEISD is maintaining the integrity of the stages. This is not a nonnegotiable policy.

2025 NEISD and CoSA Summer Youth Program
North East Independent School District (NEISD) and the City of San Antonio - Parks & Recreation Summer Youth Program (SYP) begins Monday, June 2, 2025!The 2025 SYP runs from Monday, June 2, 2025 through Friday, July 25, 2025 between 7:30 AM through 5:30 PM.
NOTE: The sites are closed on Thursday, June 19, 2025 and Friday, July 4, 2025.
The program provides structured recreational activities for children ages 6 through 12. The program has a Program Supervisor, Management, and Site Staff made up of a Site Supervisor and approximately three to five trained Recreation Assistants. NOTE: The Site Staff number varies according to registered Program Participants. Finally, NEISD’s School Nutrition Services will provide two (2) complete meals; breakfast and lunch, for the SYP participants. Access the School Nutrition Services Menu. How does my group submit for flyer distribution?
The Procurement & eCommerce Department is responsible for approving non-NEISD organization flyers for distribution at our campuses. Flyers are reviewed by the Executive Director of Procurement & eCommerce.

May my group contact a campus to request the use of a facility?
Students and Teachers are NEISD's first priority at every campus; therefore, any request to use a facility should be directed to the Department of Procurement & eCommerce.

What areas of a campus are available to outside (non-campus) groups?
Auditorium, cafeteria, commons areas, middle school gyms, elementary school gyms, and elementary school fields are the areas most often rented by the northeast community.
The Facility Reservations Office is not authorized to rent the high school level athletic facilities. NEISD District Policy GKD (Local) indicates, "...High school athletic fields such as football, baseball, softball, and soccer, and middle school football fields shall be for school use only. Any exceptions must be authorized by the Superintendent or designee and the executive director of athletics..." Please feel free to contact the Athletics Department at (210) 356-6900 for procedures, authorization, and pricing of those high school athletic facilities. -

NEISD District Policy GKD (Local) indicates, ...
Organizations or individuals using school facilities shall release the District from liability for personal injury and/or damages to personal property. All groups using school facilities shall be responsible for the cost of damages incurred during their use. Organizations using school facilities shall provide evidence of liability insurance, with the following exceptions:
1.School-related organizations that perform an educational function that renders them immune from liability under Texas law.
2.Governmental entities that are immune from liability under Texas law.
3.Organizations in which membership and membership fees are voluntary and activities are confined to the membership and are nonprofit in character.

Are reservation confirmations required?
YES, RESERVATIONS REQUIRE CONFIRMATIONS.
The Facility Reservations Office (FRO) shall submit an invoice to Organization Representative(s) and are asked to thoroughly review any and all reservation details/information and confirm the reservation as submitted. Once the Organization's Representative confirms the reservation, the FRO processes as such and continues with other administrative duties associated with the reservation.
Cancellation/Change Fee(s) shall be assessed at a rate of $50.00 per occurrence. Failure to respond with a reservation confirmation in a timely may result in a CANCELLED reservation.

What category does my group fall under?
Each organization falls under a specific category code based upon organization membership.
The categories and examples of each are as follows:- Category I - Direct School Support Organizations - Parent-Teacher Associations, Booster Clubs, Band Parents, etc.
- Category II - Youth Organizations - Boy Scouts, Girl Scouts, Camp Fire Girls, YMCA, YWCA, etc.
- Category III - Nonprofit Community Service-Oriented Organizations - Volunteer Fire Departments, Volunteer Neighborhood Associations, etc.
- Category IV - Nonprofit, Noncommercial Organizations - Homeowners Associations, Churches, etc.
- Category V - Governmental Entities - City of San Antonio, Bexar County, Federal, State and Local Legislators, etc.
- Category VI - Universities, Colleges - Texas A&M, Concordia University, etc.
- Category VII - For Profit, Commercial Organizations - Businesses, Corporations, etc.

How much will my group be charged for use of a facility?

NOTICE:
- Effective July 1, 2025; processing fees shall increase from $35.00 to $40.00.
- Cancelation/Change Fee(s) will be assessed (at $50.00/Per Occurrence) after an event is confirmed by the Department of Procurement & eCommerce if a cancelation/change is requested by the Organization.
DISCLAIMER: An additional thirty (30) minutes before a scheduled event and one (1) hour after a scheduled event shall be added to Invoices. This additional time is required on all scheduled events for custodial staff preparation(s) and clean-up.

For 2025 - 2026 school year, an additional disinfecting fee shall apply at $50.00 per event and additional custodial services may be assessed for after-event clean-up.

How does my group submit payment?
The Facility Reservations Office (FRO) accepts the following credit cards as a form of payment:
The FRO offers Renters with online payment options through CardPointe Hosted Payment Page (HPP). HPP is a real-time transaction management system.
The HPP process offers the ease of being able to pay for a fee 24 hours a day/7 days a week and the payment can be made with a credit card. The HPP system also has the option to store your card on file and access, as needed and when needed through a simple, efficient, and secure login platform.Click this PAY NOW link or these images to securely submit a payment through the CardPointe Hosted Payment Page (HPP).
HINT: Keep the invoice/reservation number, campus name, and amount of invoice handy when processing the payment. -
Who is eligible to rent a North East Independent School District facility?
All non-campus groups must provide support documentation for claims stated on the Facility Rental Application for both Nonprofit and Forprofit. Examples of support documentation include a State-issued Certificate of Formation which indicates group name and profit designation, Internal Revenue Service indicating Group name and tax-exempt status, if applicable. Groups must submit support documentation from both the federal level and state level.
All non-campus groups utilizing North East Independent School District buildings must provide Federal Level and State of Texas non-profit groups and that are based in and serve the residents of NEISD. Athletic facilities are available only to youth-oriented groups. Non-Profit / For-Profit Youth Sports Groups utilizing an North East Independent School District (NEISD) athletic facility must first be considered by the Executive Director of the Athletics Department prior to obtaining a web account and submitting facility usage requests. Youth Sports requests are considered by age-appropriate levels; e.g., elementary school-aged children at an elementary school and middle school-aged children at a middle school. For high school-aged children, contact the NEISD Athletics Department directly at (210) 356-6900 since the FRO is not authorized to rent high school athletics venues for youth sports.
Facilities are not available to individuals and are not to be used for fund-raising purposes, whether non-profit or for-profit.

How does my group obtain approval to utilize and rent the 8750 Tesoro Drive facility meeting rooms?
The Department of Procurement & eCommerce is not authorized to rent this venue. Contact Adult & Community Education at (210) 407-0140 for guidelines, pricing, contract, and any additional information that may be necessary.

If a facility request is approved, what is the earliest my group may gain access to utilize a facility during the week?
Due to the NEISD's KIN Program (AfterSchool Child Care Program) and other after-school activities at the secondary level campuses, the earliest that any outside organization may have access to any NEISD Facility is 6:30 pm. Additionally, Groups MUST adhere to the contract terms of an Agreement. Groups are only authorized to the Area(s), Date(s), Start Time, and Stop Time as identified in the Use and Indemnification Agreement. Failure to adhere to policy may result in a Group losing its facility reservation privileges. Any remittance submitted for the use of facility is non-refundable.

Are FOOD TRUCKS authorized at NEISD Facilities?
Food Trucks are not authorized at any NEISD Facility.
