• Magazine Checkout with Insignia ILS 

    Guidelines  

    • Magazines may now be checked out using a fixed MAGAZINE Record, or by checking the item out as a Temporary Title
    • The Temporary Title procedures begins with MAGAZINE -Temporary Title, it cannot be used for Self Checkout

    Supplies  

    • Acquire enough envelopes to facilitate circulation.  A good estimate is 50-150 envelopes, depending on your level of circulation.  Allowance should be made for high circulation and/or lost envelopes.  
    • Plastic envelopes are recommended and can be purchased through an office or library supply vendor.  
    • Item barcodes can be requested from Library Processing.  
    • Place an item barcode on each envelope and set aside so they can be used as needed.  

      

    The Magazine Checkout Procedure has been updated for ease of use, allowing you to quickly check magazines in and out, without creating a new bib record at each checkout. However, this new procedure, MAGAZINE - Self-Check, will not allow you to track what magazine a student has checked out. You will only be able to see that they have checked a magazine out. If you desire to track that information, continue to use the MAGAZINE - Temporary Title procedure, beginning on page six.

    MAGAZINE - Self-Check  

    This procedure utilizes a fixed MAGAZINE bib record and does not require the input of the magazine title at checkout.  This procedure can be used for Self Checkout

    • Affix barcode to outside of envelope.
    • Scan barcodes into a Google Sheet and share with dshort@neisd.net
      • Dan will add your barcodes to the MAGAZINES FOR CIRCULATION bibliographic record
    • Circulate the item
      • Checkout  
        • Place the selected magazine into an envelope that has been added to the Magazine Bib Record
        • Open the student’s record in Checkout
        • Scan the envelope’s barcode 
      • Checkin  
        • Scan the returned envelope into Checkin
        • Reshelve the magazine
        • The envelope can now be reused for another checkout

     

    MAGAZINE - Temporary Title  

    • Place the desired magazine into one of the prepared envelopes.  
    • Select Circulation>>Checkout>>Scan or Enter the patron’s barcode
      • Click Temporary Title button
        • If Temporary Title is not visible, select Options button and check Catlog Temp checkbox

        • Click the Temp Item button when checking out via the Homeroom or Classroom feature

    Click Temp Item

    • Click the New button

    New

    • Enter Information into Temporary Bib Record
      • Enter Title
      • Select Magazine from the Circulation Type dropdown
      • Enter envelope's barcode
      • Enter Call No of MAGAZINE
      • Enter Replacement Cost
    • Click Save

    Checked Out

    • The item is now checked out as a Temporary Title
    • This method cannot be used in Self-Checkout

     

    Currently Temporary Titles are not deleting upon Checkin.  A case has been submitted to Insignia Support regarding this.  Please follow these steps to delete the Temporary Title until the issue is resolved.

    • At end of day delete checked in Temporary Titles
    • Catalog>Quick Cataloging

    Quick Catalog

    • Click the Find Tab
      • Select a checked in Title and click the Detail button

    Detail

    • Click the Delete button to remove the Checked In temporary title record
      • Repeat for all checked in temporary titles

    Click Delete

    • This method cannot be used in Self-Checkout
