• Requesting Vendor Replacement Items

     

    Follett, Bound To Stay Bound, PermaBound, and Children's Plus are vendors that have a binding guarantee. Follow these procedures when making a claim for an item that is falling apart and should no longer be circulated.  Keep in mind, we are making a claim that the Binding is failing in some way.  Items that are simply worn from use, but where the binding is still intact, would not fall under this guarantee.  Such items should be weeded and an updated edition ordered.

    Our Follett Dedicated Customer Service Representative has advised that she has to request the books be sent back to Follett, when more than ten are being processed at once, so if you send more than ten, we will request the replacements in lots of ten.  Please send the items in as soon as you identify them, no need to wait until you have a total of ten.

    • Identify and gather items that require replacement
    • Create Copy Subset for Requesting Vendor Replacement items
      • Catalog>Copy Subset

    Copy Subset

    • Scan Barcodes 
    • Click Subset button

    • Select the Create New radio button
      • Requesting Vendor Replacements - Date
    • Click OK

    • Print Report of Items
      • Reports>User Defined Reports
        • Check the Union Reports Checkbox
        • Category = Copies
        • Title = Shelf List of Items
        • Search Criteria: Copy Subset = Subset you just created
        • Click Preview and then print report

     

    • Change Status to Unavailable
      • Catalog>Status
        • Select the Change Copies Status radio button
          • Select Unavailable from the dropdown
        • Select the Copy Subset radio button
          • From dropdown, choose the subset just created
      • Click Apply once list has populated

      • At Popup, click Yes

    • Print a copy of the report
    • Attach printed report to a blank Materials For Processing Form
    • Do not keep books on campus (by requesting a replacement, you are certifying to the vendor that this item is defective and not suitable for circulation)
    • As of April 2020, Follett is only replacing items that are still available in the FollettBound format.  If an item is out of print, Library Processing will weed it from your collection and discard the item.
    • Send books and forms to Library Processing through Pony
    • Library Processing will contact the vendor and take care of everything for you
    • When the items arrive at Processing, a Library Processing Specialist will trade out the existing item’s barcode for the new item’s barcode and update the Status.  You will not lose any circulation statistics.  The old copy will be discarded.
    • Once the replacement item arrives, you may shelve it.  No action needs to be taken in Destiny.
      • Contact Library Processing if you receive replacements and the invoice has not been checked off and signed by a Library Processor.  These items were mistakenly sent to campus by the vendor, and have not been updated in the Catalog.
