Adhering to ADAAA mandates, the district maintains the strict confidentiality of all staff health records. Information regarding specific support measures is restricted to authorized personnel with a legitimate professional requirement, such as Leave Management staff, essential leadership, or medical responders.

Initiating a Request for Accommodation*
- ADA Request Form: Staff members should file an official request to specify their needs and the desired support.
- Medical Verification: Submit the ADA Medical Certification Form within a 15-day window following the initial request.
*Please note that accommodations are available for both physical and mental health conditions.
The Collaborative Interactive Process
- Human Resources initiates a collaborative dialogue with the employee and the employee’s supervisor..
- A detailed evaluation of essential job duties is conducted.
- Potential reasonable adjustments and supports are investigated.
- A final conclusion regarding the request is delivered.
Ongoing and Long-term Accommodations
Maintenance via Work Status Form: Approvals are tied to submitted medical records. Staff are responsible for providing periodic updates to ensure continued eligibility for accommodations.
Annual Review for Permanent Needs: The district conducts yearly evaluations of permanent accommodations to assess current effectiveness and its ongoing capacity to provide the necessary support.
Requesting Sign Language Interpreters
Interpreter Services: Staff members requiring interpretive support to perform essential duties should formalize their request via the link below at least fourteen (14) days prior to the event. Please be advised that requests made with less than 72 hours notice may not be accommodated due to limited provider availability.

Nursing Break Request: Staff members requiring scheduled intervals and private facilities for expression should formalize their request via the provided link at least ten (10) days before their anticipated return to duty.

What is the "interactive process"?

How long does the approval process take?
The district strives to implement supports efficiently. Upon receipt of medical verification, the evaluation typically concludes within 5 to 10 business days, though equipment procurement may affect final timelines.

Do I need to provide medical documentation?
Yes. To assess current effectiveness of requests, medical certification is required to confirm the condition and describe how it impacts essential job performance.

Leadership plays an essential role in both the interactive process and integrating adjustments into daily workflows. Responsibilities include:

What if my manager has questions about why I have an accommodation?
District leadership is trained to respect staff privacy. Per policy, they must focus on facilitating agreed-upon adjustments rather than inquiring about medical history or treatment.
Support & Resolution
What should I do if my approved accommodation is not working or is not being implemented?
If needs change or effectiveness diminishes, please notify the ADA Coordinator immediately. The district will work to resolve concerns or re-evaluate the capacity to provide support.
Are accommodations retroactive?
No. Accommodations are prospective and become effective upon official approval. We encourage staff to initiate requests proactively before job performance is impacted.
